Role Overview
Under the supervision of the Assistant to the Dean, and in coordination with the Directors of the Ateneo SALT Institute (SALT), the Ateneo Teacher Center (ATC), and the Program Director of the Ignatian Initiative for Teacher Excellence (IGNITE), the Administrative Assistant shall support the operations of the aforementioned GBSEALD centers—particularly in the delivery of various online and onsite programs and projects.
Tasks include assisting the directors and program director with budget and accounting concerns (e.g., preparing billing statements, invoices, and payment orders for Accounting), as well as providing support for projects. This includes, but is not limited to: registration; preparation of materials; posting and sending of marketing materials through various communication channels; administrative and technical support during program implementation; evaluation; and the delivery of digital badges and/or certificates to participants in online and onsite training programs.
Key Responsibilities
1. Program Assistance
Supports the GBSEALD centers’ training and development courses offered online or onsite to the University and partner institutions by:

Creating registration and evaluation materials; tracking participant registration and feedback

Sending marketing materials through various communication channels

Responding to email inquiries and troubleshooting program concerns
-
Maintaining participants’ records and files
-
Arranging logistics for program talks, webinars, and training activities
-
Managing Zoom rooms and facilitating virtual breakout sessions
-
Preparing and sending certificates and badges to program completers
-
Preparing end-of-program reports for submission to partner institutions and relevant government agencies
2. Coordination with Government Agencies and Partner Institutions
-
Processing Continuing Professional Development (CPD) requirements with the Professional Regulation Commission (PRC) for provider and program accreditation
-
Acting as liaison between the centers and institutional partners or government agencies such as NEAP, PEAC, DepEd, the United Board, and other educational institutions
3. Records Management and Secretariat Support
-
Assisting center directors in the preparation and filing of correspondence (incoming/outgoing)
-
Receiving and transmitting documents, letters, and project materials for the directors of the five centers
-
Maintaining the email inboxes of the three centers, replying to messages, and following up on pending matters
-
Keeping and updating records of each center’s programs and participants
4. Budget and Financial Management Support

Preparing requests for petty cash vouchers, orders for checks, budget transfers, and liquidation reports related to center programs
-
Preparing billing statements, invoices, and payment orders as needed
-
Filing and submitting requests via the Central Accounting Office Payment System (CPS) as Originator for the centers
-
Maintaining and monitoring accurate ledgers of office revenue, expenditures, and budgets
-
Assisting in the preparation of the yearly budget proposal for the five centers
5. Other Duties

Performing other tasks as requested by the Dean, the Assistant to the Dean, the Directors of SALT and ATC, and the Program Director of IGNITE
Qualifications and Competencies

Bachelor’s degree

Excellent oral and written communication skills

Familiarity with MS Office applications, Canvas LMS, Google Drive, Zoom, Google Meet, and other online communication tools

Strong planning, organizational, and project management skills with attention to detail
